GENERAL PURPOSE:
The Administrative Assistant – Human Resources/Payroll will provide a full range of administrative support to the Human Resources Department and the Payroll Department. This position requires a high level of professionalism, written and verbal skills, strong work ethic, organizational ability, adherence to policies and procedures, maintenance of confidentiality, and work/project related flexibility.
PRIMARY DUTIES AND RESPONSIBILITIES:

Prepare and edit general correspondence, documents, reports, and information requests;

Filing, word processing, spreadsheet data entry, photocopying/scanning documents, and distributing mail, faxes, and other documents to staff;

Coordinate and communicate meetings and events;

Assist with special projects and preparation of meeting materials, including RSVPs, teleconference equipment, PowerPoint slides, handouts, binders, etc.

Close the week by emailing employees and managers regarding missed punches and approvals needed

Reconcile benefit deductions/sheet for checks

Confirm substitute vacancies
-
Verify leave each week for accuracy

In accordance with FMLA practices, enter cases, leave days, and coordinate a sub once confirmed

Onboard subs following the background check

Respond to service record requests and keep tracking of receiving services records from new employees on a spreadsheet

Follow up with staff regarding official college transcripts and HR related tasks needing submitted or completed or onboarding

Respond to verification of employment requests and Public Student Loan Forgiveness (PSLF) requests

Must be able to multi-task and possess the ability to work in numerous systems

Be responsible for various assigned programs and processes.

SUPERVISORY RESPONSIBILITIES:
MINIMUM QUALIFICATIONS:
Education and Experience:

High School Diploma or GED
-
Business office training preferred
-
Previous experience working in HR/Payroll preferred
-
Related clerical or administrative assistance preferred
Special Knowledge/Skills:

Strong organizational, communications, public relations, and interpersonal skills

Strong computer and business skills
