Job Title: Payroll & Accounts Payable Specialist
Reports To: Superintendent
Contracted Days: 240
Job Summary: The Payroll & Accounts Payable Specialist is responsible for managing and executing all district payroll functions and accounts payable processes with accuracy, efficiency, and confidentiality. This position ensures timely payment to employees and vendors, maintains financial records in compliance with state and district policies, and supports overall business office operations. The role requires attention to detail, knowledge of payroll systems, and the ability to manage multiple financial tasks in a school district setting.
Essential Duties:
Process and pay all district invoices, bills, and other financial obligations promptly and
accurately.
Ensure timely and accurate payment to all vendors and employees.
Prepare and process monthly payroll, including verification of time sheets, overtime, and
compensatory time.
Conduct payroll verifications and maintain accurate payroll records.
Manage payments for hourly employees, including blended rate calculations for time worked outside of contracts.
Run and submit all required payroll reports.
Monitor and reconcile the list of uncashed checks; follow up as needed to ensure proper
resolution.
Collect and enter fixed asset information into the financial system for accurate asset tracking and reporting.
Maintain a master calendar of all payment due dates to ensure compliance with deadlines and prevent late payments.
Provide backup support to front office staff as needed to ensure smooth day-to-day operations.
Perform other duties as assigned by Administration.
