This position is under the direct supervision of the Human Resources Director. Provides advanced clerical, training, administrative, and technical support for the Human Resources Department. Must be able to work on a variety of assignments in a busy multi tasked office environment. This position will normally works 40 hours per week, Monday through Friday, with some evening and weekend work.
• Will perform a variety of advanced skilled administrative duties for the Human Resources Departments.
• Type confidential information, reports, statements, records, memorandums and other materials from copy, rough draft or other sources. Proofreads all work for accuracy and neatness.
• Assists the Human Resources Director with Worker’s Compensation Claims. Insuring proper filing of all forms and coordinating with claims adjusters and employees.
• Maintains reporting systems for Worker’s Compensation Claims.
• Answer incoming telephone calls, takes messages, and directs incoming calls appropriately.
• Obtain price quotations, prepares purchase requisitions and does follow-ups on items purchased for the departments.
• Schedule appointments, makes reservations and arranges conferences and meetings.
• Files and maintains correspondence, reports, personnel records, memos, and other records by computer and/or file cabinets.
• Originate and distribute by mail and facsimile; memos, correspondence, and other records using computer or typewriter.
• Prepare and submit special statistical reports as needed,
• Maintain records of various natures as determined by the Human Resources Director.
• Assist and coordinate Human Resource activities with other departments, government agencies, and community organizations.
• Assist in developing and conducting training and education activities relating to Human Resource issues for the various departments.
• Attend classes, training and other education activities as they relate to Human Resources
• Operate a city vehicle while conducting Human Resource affairs.
• Record and prepare minutes for a variety of Human Resource meetings.
• Prepare Public Service Announcements and Job Vacancy Announcements for distribution through the media.
• Provides new hire orientation and training on city policies and procedures and other personnel programs.
• May be subject to matters involving disgruntled or hostile co-workers or the general public.
• Responsible for the maintenance and training of personnel on various Human Resources programs
• Perform all other duties as assigned.
Requires eighteen months of specialized, technical, or general education plus three years increasingly responsible clerical experience or equivalent. Ability to type fifty words per minute with a high degree of accuracy. Ability to transcribe from dictation with a high degree of accuracy. Good working knowledge of grammar, punctuation, spelling, style, etc. Excellent organizational skills, knowledge of efficient office procedures, and the ability to operate standard office equipment. One year experience in Worker’s Compensation claims. Must have a good working knowledge of bookkeeping fundamentals and computer programs, including Microsoft Office (Word, Excel, & PowerPoint). Above average communication skills. Ability to work effectively with co-workers and the general public conveying a positive and professional image in a friendly and courteous manner to those persons they should come in contact with by way of telephone or walk-ins. Must have a valid driver’s license and pass a back-ground investigation.
